Privacy policy
Who is responsible
BTLTECH LTD develops this app. Privacy and support questions: btl@btltech.co.uk. This policy covers the native iOS app, not the separate browser preview. Last updated 1 October 2026.
Your records
Rental Check-In stores check-in names, optional addresses, dates, room details, photo notes, damage markers, photos, confirmation status, signer names and signatures on your device. Photos saved by the app are re-encoded without their original location and camera metadata. Device dates are not independently verified.
Developer access
There is no app account, developer-operated data server, tracking, advertising or analytics in the app. The app does not send your records to BTLTECH LTD. If you contact us by email, we receive the information you choose to include. Do not attach signatures, addresses or full backups unless necessary. We use support correspondence to respond to your request and retain it only as needed to handle that request and any applicable obligations.
Optional iCloud backup
Backup is off until you enable it. If enabled, complete snapshots of the database and stored files are uploaded to your private iCloud account through Apple's iCloud Drive service. This includes any personal information in your records and attachments. Apple operates this service under your Apple account settings and terms. BTLTECH LTD has no access to your private iCloud snapshots. Snapshots are backups; records do not live-sync or merge between devices. Local records remain usable if iCloud is disabled or unavailable.
Permissions
Camera access is used only to take photos when you choose. The system photo and file pickers let you choose what to import. You can change permissions in iPhone Settings.
Exports and sharing
You choose whether to export, print or share files using iOS. PDFs, photos, signatures and full backup archives can reveal personal information. Full backup archives have no password and can be read by anyone who obtains the file. Exported copies are outside the app's control. Keep them somewhere private. We do not claim that exported archives have app-provided encryption.
Retention, deletion and restore
Local records remain until you delete them, replace them by restoring a backup, or remove the app's stored data. Deleting local records does not delete older iCloud snapshots or exported copies. Backup & Restore lets you manage cloud snapshots separately; retention keeps three confirmed snapshots from this installation. Snapshots from other devices are removed only when you choose them. Turning backup off keeps existing cloud snapshots. A restore replaces the local dataset, including its attachments and saved identities; it does not merge records. Your device or iCloud may also retain copies through Apple's own backup services and settings.
Your choices
You can use the app without enabling iCloud backup, export your complete data, delete local data, manage cloud snapshots, and change device permissions. Contact btl@btltech.co.uk about information you have supplied directly to us or questions about this policy. We cannot access or delete your private on-device or iCloud records for you.
Website hosting
This policy and support page use no app analytics or tracking scripts. Cloudflare hosts these pages and handles connection information such as IP addresses under its own terms. The separate browser preview has its own privacy notice.
